Yoga Prema – Retreat Terms & Conditions
By booking a place on a Yoga Prema retreat, you agree to the following terms and conditions. Please read them carefully before booking.

These terms apply to both UK and international retreats, unless otherwise stated in the specific retreat information.
1. Health & Wellbeing
Yoga Prema retreats are designed to be supportive, nourishing and accessible. As with any physical or wellbeing practice, it is important that you listen to your body, practise within your own limits, and take responsibility for your own body, energy, health and wellbeing.
By booking, you confirm that you are responsible for your own health and fitness to participate. If you have any injury, illness, medical condition, pregnancy, recent surgery, mental health concern, or are unsure whether the retreat is suitable for you, please seek advice from a qualified healthcare professional before booking.
Yoga Prema offerings are intended to support general wellbeing and are not a substitute for medical care, diagnosis or treatment.
Participants must be aged 18 years or over at the start of the retreat. By booking, you confirm that you have the legal capacity to enter into this agreement.
We aim to make retreats as accessible as reasonably possible. Please contact us in advance to discuss any specific mobility, dietary, or other needs so we can assess suitability with the venue.
2. Mental & Emotional Wellbeing
Yoga, meditation, breathwork, chanting and reflective practices can sometimes bring up strong emotions or memories of past experiences.
By booking, you confirm that you take responsibility for your own mental and emotional wellbeing during and after the retreat. If you are currently receiving psychological or psychiatric support, or have a history of trauma or mental health conditions, you are advised to consult an appropriate healthcare professional before attending.
Yoga Prema and its teachers cannot provide medical, psychological or psychiatric care.
3. Ayurvedic Treatments, Massage & Other Treatments
Some retreats may include or offer Ayurvedic treatments, massage, consultations or other wellbeing treatments. These are intended to support general wellbeing and do not replace professional medical advice, diagnosis or treatment.
Please inform Yoga Prema and/or the relevant practitioner in advance of any allergies, sensitivities, injuries, medical conditions, medications, pregnancy, recent surgery or other relevant health information.
Participation in any treatment is voluntary. If you are unsure whether a treatment is suitable for you, please seek medical advice before participating.
Some retreats, including those in Kerala, involve services provided by independent third-party venues and practitioners, such as accommodation and Ayurvedic treatments. Yoga Prema selects these providers with reasonable care but is not responsible for their individual advice, treatment outcomes, or day-to-day operations.
4. Travel Insurance
Travel insurance is the participant’s responsibility.
For international retreats, comprehensive travel insurance is required. For UK retreats involving travel or accommodation, travel insurance is strongly recommended.
Your insurance should be arranged at the time of booking and should cover, where relevant, medical expenses, cancellation, curtailment, travel delays or disruption, lost or damaged belongings, repatriation, and any retreat activities or treatments you choose to participate in.
Please check your policy carefully to ensure it provides suitable cover for your circumstances. Yoga Prema cannot be held responsible for costs arising from a participant’s failure to arrange suitable insurance or from any exclusions, limitations or refusal of a claim by an insurance provider.
5. Passports, Visas & Travel Documents
Yoga Prema is not a travel agent and does not arrange flights, visas, passports, travel authorisations, vaccinations or entry documents on behalf of participants.
For international retreats, you are fully responsible for ensuring that you have a valid passport, any required visa, travel authorisation, permits, vaccinations, health documentation and any other documents required for entry into the destination country.
You are responsible for applying for your visa in plenty of time, checking that all information is correct, and ensuring that your visa or travel authorisation is approved before you travel.
Yoga Prema is not responsible for visa applications, visa decisions, passport validity, entry refusal, delays in visa processing, incorrect travel documents, or changes to entry requirements.
Visa and entry rules can change, sometimes at short notice. It is your responsibility to check official government guidance and/or seek appropriate professional advice before travel.
If you are unable to attend a retreat because your passport, visa, travel authorisation or entry documentation is missing, delayed, incorrect, refused or invalid, Yoga Prema cannot provide a refund outside the usual cancellation terms.
6. Travel Arrangements
Unless clearly stated in the retreat information, you are responsible for arranging and paying for your own travel, including flights, trains, taxis, visas, insurance and any additional accommodation before or after the retreat.
For some retreats, certain transfers may be included. For example, a retreat may include transfer to and from a named airport at specified times. This will be clearly stated in the retreat information.
If you choose to travel outside the suggested arrival or departure times, or to make your own separate travel arrangements, you may be responsible for any additional transfer or accommodation costs.
Yoga Prema is not responsible for flight delays, cancellations, missed connections, visa delays, passport issues, travel disruption, airline changes, lost luggage, or additional costs caused by travel disruption.
7. Payments, Deposits & Balance Payments
A deposit is required to secure your place on a retreat. The deposit amount may vary depending on the retreat and will be clearly stated at the time of booking.
Your deposit secures your place on the retreat and is non-refundable. This is because spaces are limited and Yoga Prema begins making commitments and arrangements once your booking is confirmed.
The remaining balance must be paid by the balance due date stated for the retreat. If the balance is not paid by the due date, Yoga Prema reserves the right to treat the booking as cancelled and offer the place to someone else. In this case, the deposit remains non-refundable.
8. Cancellation by You
If you need to cancel your place, please inform Yoga Prema in writing as soon as possible. The deposit is non-refundable, as set out in section 7.
Once the balance payment has been made, the following cancellation terms apply: • If you cancel more than 90 days before the retreat start date, Yoga Prema may refund up to 50% of the balance payment, after deducting the deposit and any costs already incurred. This may include payment processing fees, administrative costs, venue or accommodation payments, treatment costs, transfer costs, teacher costs, and any other non-recoverable retreat expenses already committed.
• If you cancel 90 days or less before the retreat start date, no refund will be given.
For this reason, comprehensive travel insurance should be arranged at the time of booking. If you need to cancel due to illness, injury, bereavement, travel disruption or another insured reason, you may be able to recover some or all of your costs through your travel insurance provider, depending on your policy.
If Yoga Prema is able to fill your place with another suitable participant, a partial refund or transfer may be considered, less any costs already incurred.
In exceptional circumstances, and entirely at Yoga Prema’s discretion, it may be possible to transfer part of your payment to another Yoga Prema-operated retreat within 12 months. This is not guaranteed and will depend on availability, timing, costs already committed, and the pricing of the alternative retreat.
Transfers cannot be made to retreats, holidays, events or programmes operated by another company, organisation or third-party provider, even where Yoga Prema is teaching on that retreat.
These terms do not affect your statutory rights.
9. Cancellation or Changes by Yoga Prema
In the unlikely event that Yoga Prema needs to cancel a retreat for reasons within our control, you will receive a full refund of retreat payments made to Yoga Prema.
Yoga Prema is not responsible for flights, visas, passport costs, travel insurance, additional accommodation, vaccinations, travel clinic appointments, or other incidental expenses. Please ensure your travel insurance covers these risks.
In the event of circumstances beyond our reasonable control, such as natural disaster, pandemic restrictions, government travel restrictions, war, civil unrest, airport closures, transport disruption, illness of essential staff, venue closure, or other unexpected events, Yoga Prema will do its best to offer a fair and practical solution. This may include postponement, transfer, or refund of retreat fees paid, depending on the circumstances and costs already committed.
10. Retreat Programme & Changes
Yoga Prema will do its best to deliver the retreat as described. However, retreat schedules may occasionally need to change due to weather, teacher availability, group needs, venue requirements, travel disruption, health and safety considerations, or circumstances beyond our control.
Any changes will be made with care and with the intention of preserving the quality and spirit of the retreat.
11. Participant Responsibilities
By booking, you agree to:
• Arrange suitable travel insurance where required
• Share relevant health or medical information before the retreat
• Practise within your own limits
• Treat teachers, retreat staff, venue staff and other participants with respect
• Follow reasonable guidance relating to safety, group harmony and venue rules
• Take responsibility for your own belongings, travel documents, money and personal items • Avoid behaviour that is unsafe, disruptive, abusive, discriminatory or harmful to the group
Yoga Prema retreats are intended to be nourishing, restorative and supportive of yoga, Ayurveda and wellbeing. They are not designed as party or alcohol-focused holidays.
The use of recreational drugs or illegal substances is not permitted during Yoga Prema retreats.
Alcohol is not permitted during retreat sessions, shared practices, group activities, or within the retreat venue/container unless clearly stated otherwise for a specific retreat or venue. Participants are free to make their own choices during personal time away from the retreat setting, but are expected to return in a respectful and appropriate state.
Participants who appear under the influence, or whose behaviour is affected in a way that impacts safety, group harmony, the retreat atmosphere, or the wellbeing of others, may be asked to leave. No refund or compensation will be given in such cases.
Yoga Prema reserves the right to ask a participant to leave the retreat if their behaviour is disruptive, unsafe, abusive, discriminatory, or negatively affects the wellbeing of the group. In such cases, no refund will be given, and Yoga Prema will not be responsible for any additional travel or accommodation costs.
12. Communication & Privacy
Participants may be invited to join a private WhatsApp group, or similar communication platform, for retreat updates and group communication before and during the retreat.
Joining the group is optional. If you choose to join, please be aware that your phone number and profile information may be visible to other participants. You may leave the group at any time.
Personal information shared with Yoga Prema will be used only for retreat administration, communication, safety and delivery of the retreat, unless you have separately opted in to receive marketing or newsletter updates.
13. Photography & Video
Photos or short videos may occasionally be taken during the retreat for Yoga Prema’s website, newsletter, social media or promotional materials.
Your privacy will be respected. If you do not wish to appear in photos or videos, please let us know before or during the retreat, and we will honour this wherever reasonably possible.
We will not knowingly use sensitive, private or unflattering images.
14. Liability
Yoga Prema will take reasonable care in organising and delivering the retreat.
However, Yoga Prema cannot be held responsible for:
• Travel delays, cancellations or disruption
• Passport, visa or entry issues
• Loss of or damage to personal belongings
• Medical, emotional or psychiatric conditions that arise or become apparent during or after the retreat • Injuries or illness arising from participation where reasonable care has been taken • Actions, omissions or failures of third-party providers outside Yoga Prema’s reasonable control
• Events beyond our reasonable control
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by proven negligence.
15. Complaints
If an issue arises during the retreat, please raise it with Yoga Prema as soon as possible so that we have the opportunity to address it during the retreat.
Any formal complaint after the retreat must be made in writing within 14 days of the retreat’s conclusion.
16. Agreement
By booking a Yoga Prema retreat, you confirm that you have read, understood and agree to these terms and conditions.
17. Governing Law
These Terms and Conditions and any dispute or claim arising out of or in connection with them shall be governed by the laws of England and Wales. Nothing in this clause affects any mandatory consumer rights that may apply.
